Splat Quack GO is fully GDPR compliant. When you use our services, you trust us with your data. It is our responsibility to be clear about what we collect and how we use it to make UKAFH work better for you. Your privacy and personal data is important to us. When signing up to events, you will be passed to Eventbrite’s Payment System or PayPal, which will process your order securely. We do not see, nor store your card details. Your personal details are stored on Eventbrites system which is your name, email, home address, telephone numbers, child age (where relevant), medical details we need to be aware of (where relevant), age group and your T-shirt size. We do not store this data anywhere else, but the data is accessed by our staff for checking attendees by either a web browser or by the Eventbrite Organiser Mobile App.
If you have added physical products to your order, then we will print and process your order on our internal SQL database separately and securely. This data is kept for 10 years, and backed up encrypted daily onto Dropbox. The original paper copy will be shredded by Citrus Security Shredding after 7 months, but held securely in our filing cabinet until then in case of delivery queries. For such physical goods purchased, your name, address, email and contact may be passed to Royal Mail, DPD, FedEx, or other courier for the purpose of delivery or getting in touch regarding delivery related problems or tracking.
We will temporarily print your personal details on paper event day so we can sign you in, and this data will be securely destroyed after the event. This is essential so we know who should be coming, your start time, and any medical details we need to pass to our medical team.
By entering your email, you give us consent to contact you regarding this event or your order. This is essential, and only used to give out event specific information such as directions, what to wear or bring, event changes, cancellations or other information specific to this event. We will also send you an email after the event with any timing results and photos. For further future events, we offer a consent to be informed of future events option.
Photography: I understand that any and all photographs, motion pictures, recordings, and/or likenesses of me captured during the Splat Quack GO event by Splat Quack GO, its affiliated entities or contractors, and/or the media (“Relevant Other Parties”) become the sole property of Splat Quack GO and/or Relevant Other Parties (as applicable). I acknowledge that such photographs, motion pictures, recordings, and/or likenesses of me may be edited disseminated, adapted, modified copied, used, exploited in whole or in part in all media and formats throughout the world in perpetuity for any legitimate commercial or non-commercial purpose, including but not limited to promoting, advertising, and marketing Splat Quack GO and Splat Quack GO events, without prior notice or compensation. I further understand that Splat Quack GO and the Relevant Other Parties have the full right to sell and/or profit from the commercial use of such photographs, motion pictures, recordings, and/or likenesses. I also grant Splat Quack GO the permission to use my name in connection with its legitimate commercial and non-commercial purposes including but not limited to promoting, advertising, and marketing Splat Quack GO and Splat Quack GO events without prior notice or compensation.
When using online chat…
Our online chat is provided by Jivo. Any details you enter are passed securely to us in an encrypted connection. A copy of your chat is stored on our email in case we need to refer back to it, or get in touch, but is deleted after 5 months.
Other data usage…
Server log files will record your IP address, date, time and pages used when browsing the site. This is an essential part of our website security, the data is only stored on our web server and only used if we need to investigate suspicious website activity.
We use Google Analytics for statistical purposes, this includes storing your IP Address and tracking info on Google’s servers.
Cookies are used to store your basket information and for tracking purposes.
